The Submission pages let you submit a paper to the archive or change a submission.

I. NEW SUBMISSIONS


Login
You will be asked to select your name and enter your password. If your name is not listed, you need to register as an author on the author pages. If you are registered but have forgotten your password, click on "Log In" and your password will be e-mailed to your e-mail address.


Choose
You will then be asked whether you want to start a new submission or update an existing ROA or submission. If you want to update an ROA, choose from the drop-down menu. You can also choose to change submissions or updates before they are approved by the ROA administrator.


Important Note
It is worth noting that you do not have to complete a submission in one sitting. You can fill out part of a submission and save it, and return to it later. So, don't worry if you're interupted while uploading your paper. The administrator will only approve your submission after you say its ready.

Step 1: Preliminary Information
The first page on the upload procedure asks you for basic information about the entry.

Title Your paper’s title.
Author(s) You are automatically entered as an author. You cannot upload a paper on behalf of someone else. You may then select your co-authors (if there are any) from the drop-down list. If you cannot find your co-authors there, they are not registered as ROA authors and must do so (click here). All authors must be registered so the administrator can contact them if necessary. If authors are not correctly registered -- i.e. their full name and e-mail address must be given -- the administrator can refuse to accept the submission or remove it. To add an author to your paper, choose their name and click the ADD AUTHOR button.
Comment  If you have a comment about the paper, please include it here. Comments may contain information about where the paper is published, or font information.
Length The length in pages. Please enter numbers only here; do not enter terminations like pp.
Abstract Your abstract. Every abstract must contain at least one line. Abstracts are the most frequently searched part of the ROA. For technical reasons, all “ ” will be converted into ‘ ’. You may type directly or paste text into the abstract box. Note that the text must be unformatted bare text. Please do not enter HTML tags.

Keywords Keywords are used primarily for searching. They should mention the main terms used in your document: e.g. reduplication,back-copying. Keywords must be separated by commas.
Area The field that your document relates to. You may choose a filed from the menu or type it directly into the box. You may be as specific as you like, but try to always include at least one general field: e.g. Phonology, Syntax, or Semantics.
Type The type of document you are submitting. If in doubt, choose "manuscript".
Supersedes  Does you entry supersede any other ROA#? If so, choose the paper it is superceding. NOTE: An ROA cannot supersede itself! If you are updating an ROA, do not enter anything in the superceded box.

When you have finished, click the NEXT button. You can also choose to SAVE your submission. Clicking here will return you to the main ROA page. To continue with your submission, click the "Submit" link again. If you press CANCEL, your submission will be deleted.

Step 2a: Parts
While many documents have a single part, it is appropriate for some to have several seperate parts (e.g. PhD dissertations). You may also want to upload two seperate versions of a document, or include a bibliography file with your submission. Every submission has at least one part. If you want to add a part, enter a name for the part in the "Add Part" box, then click the "Add Part" button. This Part will be added at the end of your document's parts. Please be brief. Ch 1 is adequate for Chapter 1. Please do not include the whole chapter title here.
You can also change or delete a Part. To change a part, change its name in the appropriate box then click "Change". To delete a part, click the "Delete" button next to the part name. Warning: If you delete a part, all files associated with that part will also be deleted!
Recommendation We strongly encourage people to submit their entire document in one file, even if they also submit it in seperate chapters. This is especially true of PhD dissertations: if possible, please include a single file with your entire dissertation in it.

Step 2b: Files
Adding Files  You can add a file by clicking on the BROWSE button and selecting your file.Important Note: You file will be renamed to fit with the ROA’s naming conventions. So, do not be surprised if you cannot find your filename in the list of new files.
Parts

If your submission has multiple parts, you will need to select a part for your file.

Formats

When you select a file, the Format box should automatically choose the right format for the document. However, in some cases the format box will not choose the right format, so please check it before moving on. The formats recognized by the ROA are:

PDF Adobe Acrobat
DOC/Word Microsoft Word (any version)
PS Postscript
WP(D) Wordperfect (any version)
RTF Rich text format
TXT Plain text format
HTM(L) Webpages
Other (any other format)

You may upload compressed files – i.e. zipped or gzipped files. The ROA will automatically decompress these files for you. However, there are some restrictions:

  1. The filename must end in .ZIP - It doesn’t matter if it is in .zip or .gz format, but the filename must end in .zip.
  2. You must specify a format other than Other

When you have finished specifying your parts and files, click ‘Next’ and a summary of your submission will be shown to you. You may click the BACK button on the main page to change your submission, click the CANCEL button to cancel your submission, or click the NEXT button to process your submission

Verify Upload
If there are any problems with your submission you will be notified on the following page. Problems may happen if our server fails or if the files you specified do not exist. If the submission is successful, you will be e- mailed a confirmation message and presented with a summary of the files uploaded. The administrator will contact you if there are any further problems with your submission.

 

UPDATING A SUBMISSION

The procedure for updating a submission is the same as for uploading a new submission, except that you will be replacing old information rather than entering new information. You may change a paper currently on the ROA or a paper you have just submitted.

Updating and Files
The most common update procedure is to replace an old file with a newer version. To do so, first remove the old file. Next, enter the new file’s information in the Add file box: click on the BROWSE button to locate the new file. Check to see whether the right format has been assigned to the file. If your document has many parts, you will also have to choose which part the file belongs to. Finally, click Add file. The file will upload and the screen will refresh with the new file in its rightful place. Important Note: You file will be renamed to fit with the ROA’s naming conventions. So, do not be surprised if you cannot find your filename in the list of new files. Your new file will start with a higher number than the other files. You may also add and delete parts. Warning: If you delete a part, all files in that part will also be deleted!

Step 3: Completion
When you have finished uploading files, click the FINISH button. If your submission is successful, you will be presented with a confirmation page. At this point, you must e-mail the ROA Administrator to validate your submission. You will be sent an e-mail message to remind you to do this. Please note that your update will not be automatically approved. The administrator will check it, and contact you if there are any problems.
